You are sending us a photograph of someone who matters to you. This explains exactly what happens to it, in plain language.

Who holds your information

Heirloom Motion is operated by Addison Jones, doing business as Heirloom Motion, a sole proprietorship, at South Carolina, United States. A postal address is available on request from hello@heirloommotion.com.. We are the data controller for everything described here.

What we collect

The photograph you upload. Held so we can restore it and make your remembrance.

Your email address. Used to send you your order, and to answer you if you write to us.

What you tell us about the order — the name of the person, the occasion, and any message you choose to include. All optional.

Payment details, which we never see. Payment happens on Stripe. Your card number does not reach us and is not stored by us.

A little security information. To stop people abusing the site, we record failed sign-in attempts and how many orders come from one place. Your network address is hashed before it is stored — we keep a one-way fingerprint, not the address itself.

We do not use advertising trackers, and we do not sell or share your information with anyone for their own purposes.

How long we keep your photograph

Your photograph is deleted after your remembrance is delivered. That is the default, and it happens automatically — you do not have to ask.

If you would rather we kept it, so you can order again without re-uploading, you can tell us and we will. That is a choice you make, never one we make for you.

We keep the order record itself — the reference, the date, the amount — because we are required to keep business and tax records. That record does not contain your photograph.

Your finished remembrance stays available at your private keepsake link so you can download it again. Ask us and we will remove it.

Showing your remembrance publicly

We do not show anyone’s remembrance publicly unless they have told us we may.

We ask once, on your keepsake page, after your remembrance has been delivered — never while you are paying. If you say yes, we would show the remembrance itself and nothing about you: no name, no message, no email address. You can withdraw that at any time from the same page.

Saying no changes nothing about what you receive.

Who else sees any of it

Only the services we need to run the business, and only the part each one needs:

  • StripePayments. Your name, email, and payment details. We never see or store your card number.
  • fal.aiVideo generation. The photograph you upload, for as long as the render takes. Nothing else — no name, no email, no message.
  • Cloudflare R2File storage. Your photograph and the finished remembrance, until deletion.
  • NeonDatabase. Your order record, email address, and any message you wrote.
  • ResendEmail delivery. Your email address and the contents of the emails we send you.
  • VercelWebsite hosting. Ordinary web request data while you use the site.

Some of these operate outside your country. Where that involves transferring your information internationally, it is done under the safeguards those providers offer for such transfers.

What you can ask us to do

You can ask for a copy of what we hold about you, ask us to correct it, or ask us to delete it. You can withdraw permission to show your remembrance. You can object to how we are using your information.

Write to privacy@heirloommotion.com and we will do it. There is no form, and you do not need to give a reason.

Depending on where you live, you may also have the right to complain to a data protection authority.

Keeping it safe

Your photograph is stored privately. The link that serves it is signed and expires, so it cannot be shared or guessed. Your keepsake page has an unguessable address and is kept out of search engines.

No system is perfect, and we would rather say that than imply otherwise.

Children

This service is for adults. We do not knowingly collect information from children. Photographs of children are of course welcome — it is the account holder we mean.

Changes

If we change this, we will change the effective date at the top. If a change materially affects a photograph you have already sent us, we will email you rather than rely on you noticing.
